Send an invoice

Creating, sending and tracking invoices in Vendra One, including Stripe payment, PDF, bank transfer and manual payment.

Invoices live in the Payment Center. An invoice moves through a fixed set of states, and each state tells you something different about where the money is.

The states

  • Draft — being written, not visible to the customer.
  • Sent — emailed, with a link to view it.
  • Opened — the customer has looked at it. Useful before chasing.
  • Pending — payment started but not settled, e.g. a bank transfer in flight.
  • Paid — settled.
  • Failed — a card was declined or a transfer bounced.
  • Cancelled — withdrawn. A sent invoice is cancelled, never deleted.

Payment methods

Choose per invoice: Stripe card payment, a PDF the customer pays however they like, bank transfer, or manual — where you record a payment received outside the system. Bank transfers are reconciled by marking the invoice paid, which also records the amount in the payments ledger.

Only a draft can be deleted. Once an invoice has been sent it can be cancelled but not removed, because your bookkeeping needs the number sequence to stay intact.

For anything that is not a formal invoice — a deposit, a one-off, a deposit on a quote — a payment link is faster. Set an amount or leave it open, send the link, and the payment lands against your account without an invoice number being consumed.
